The estimating challenge

The 90% set carried a healthcare equipment schedule that was still moving, with four imaging rooms whose shielding, structural pads and dedicated electrical feeds depended on vendor data the owner had not finalized. Medical gas, nurse call and HEPA-filtered procedure rooms pushed the MEP share of the budget above 40%, so small quantity errors there would swing the bid. The contractor also needed the estimate split by floor to match the owner's phased occupancy plan, and had only six working days before bid day.

The result

LEEDS built the estimate by floor and by CSI division, carried the imaging rooms as a priced allowance with a documented basis for each shield thickness and pad size, and leveled eleven mechanical and electrical subcontractor quotes against our own takeoff. The contractor submitted at $18.6M and was awarded the project as low bidder, roughly 2.1% under the second bid. Final buyout landed within 1.8% of our estimate, and the imaging allowance covered the vendor's final equipment specifications without a change order.
