Overview

Estimating apartments as an owner, not as a subcontractor

An apartment estimate for an owner serves a different purpose than a trade bid. It supports the acquisition model, the construction loan and the capital plan. We build it bottom-up from quantities, then organize results by building, by unit type and by amenity so the pro forma can test each assumption: what a studio costs versus a three-bedroom, or what a clubhouse adds per door once it is spread across the full unit count. Unit-mix matrices also let the team compare studio-heavy and family-heavy programs on a cost-per-bedroom basis before design is locked.

Repetition is the advantage and the risk. A unit type repeated 120 times multiplies every missed item, so we price the typical unit in detail, including cabinet runs, appliance packages, flooring and fixtures, and then apply stacking, corridor and core factors for the shared areas. Garages, surface parking, retaining walls and site utilities are priced separately so they do not hide inside the building number and distort cost per unit comparisons. Value engineering alternates are priced beside the base case, such as PTAC versus ducted split systems or vinyl plank versus tile, with the saving shown per door.

For renovation-turn programs we quantify scopes at three levels: light refresh, standard turn and full interior upgrade. Each has a per-unit price and a downtime allowance, which lets asset managers match capital to rent premium and schedule turns around lease expirations. The same workbook rolls up to a draw schedule, with retainage and stored materials, that lenders and inspectors can use directly. Draw projections are produced monthly, which gives asset managers and construction lenders one document to review at every funding request.

How is an apartments estimate different from multi-family estimating?

Apartments estimating is organized for the owner: per building, per unit type and per door, with turn programs and lender draws. Multi-family estimating is a general-contractor takeoff organized by trade. We can supply both from the same quantities, but the apartment version is built to answer underwriting questions.

Can you price a unit turn program across a whole portfolio?

Yes. We define scope tiers from a walkthrough of sample units, price each tier per unit with downtime days, and apply the tier to your turn list. The output shows capital per property, expected rent premium inputs and a quarterly spend forecast tied to lease expirations.

What cost metrics will I receive?

Cost per unit, per rentable square foot, per gross square foot, per building and per parking stall, plus an amenity cost per door. Metrics are shown for hard costs alone and for the all-in total with soft costs and contingency, so you can compare against market benchmarks.

Do you provide value engineering for apartment projects?

We price alternates against the base design: cabinet and flooring grades, PTAC versus split systems, siding mixes, parking configurations and balcony types. Each alternate shows savings per unit and any schedule or durability tradeoff, so your team decides with numbers. We also show the resulting change in cost per door so the asset team can rank alternates quickly.

Can you build a lender draw schedule from the estimate?

Yes. We load the schedule of values with durations, produce monthly draw projections with retainage, and separate stored materials and soft costs. The draw package is delivered in Excel and PDF, formatted for common construction lender and inspector templates. It also includes owner-controlled soft costs for the lender's review.

How fast can you estimate a multi-building apartment community?

A single building takes 48 to 72 hours. For communities with repeated building types, we price each type once and apply it to the building count, which usually keeps a 10-building community within five business days, including site work and amenities. Typical garden communities are far quicker than podium buildings.
